Finance Assistant

The Opportunity: Finance Assistant – Full Time (1.0 FTE or 75 hours bi-weekly)

Under the supervision of the Manager, Finance & Administration, the Finance Assistant performs accounts receivable functions including collections, accounts payable functions, billing of various programs, input donations and issue receipts, reconcile and maintain petty cash, assist with records retention management, and duties as assigned.

Job Description
  • What You Will Do:
    • Prepares bank deposits and posts electronic deposits to the software
    • Prepares and mails invoices for various programs (Billing)
    • Monitors client accounts and takes steps to collect when necessary
    • Examines payable invoices for accuracy
    • Ensures payable invoices are approved by the appropriate Manager/purchasing agent
    • Code payable invoices to appropriate general ledger account
    • Input payable invoices into accounting system
    • Prepares cheques to pay invoices as they come due or pay invoices online where appropriate
    • Balance petty cash on a monthly basis
    • Assist with creating Donation Receipts
    • Assist in maintaining Records Retention system
    • Follow Carefor policies and procedure
    • Other duties may be assigned as needed within the scope of the position
    • Functions and reports in compliance with the Occupational Health and Safety legislation, regulations, and Carefor policies and procedures
    • Reports the absence of or defect in any equipment or protective device of which he/she is aware and which may endanger him/herself or another worker
    • Reports any violations of the Health and Safety Act or the regulations, or the existence of any hazard
    • Ensures all workplace incidents are reported in a timely manner in accordance with legislation, and Carefor policies and procedures for workplace injuries and incidents
  • Qualifications
    • Two-year college diploma in accounting, finance or a similar field. An acceptable combination of education and experience may also be considered.
    • Demonstrated knowledge of general accounting principles, techniques, and practices
    • Experience using accounting software such as Great Plains and/or CIMS would be an asset
    • Highly developed computer skills with specific experience in Microsoft Office (Excel, Word, Outlook)
    • Excellent communication and interpersonal skills
  • Experience
    • Practical accounting experience such as bookkeeping, accounts receivable/payable, and record keeping.
    • Experience with collections
    • Experience with reconciling and maintaining petty cash
    • Effective problem solving and decision making skills
    • Experience in handling confidential information
    • Must exercise initiative, tact, judgement, discretion and attention to detail
