Job Summary:

The primary role of the position is to manage and maintain Carefor facilities in partnership with Operations and supporting departments. The role includes maintaining facility maintenance schedules, negotiating vendor support agreements, coordinating office space, maintaining a system to identify, record and execute maintenance requests and active collaboration with Operations on facility improvement and capital projects.  The position ensures buildings, grounds, and equipment are maintained in compliance with internal and external regulations and legislative requirements, and are operated in a cost effective manner.



  • Plans and maintains a cost effective preventative and responsive maintenance program for owned and leased facilities, office and medical equipment
  • Manages contracted services, including the procurement, coordination, monitoring and evaluation of external service contractors including lease agreements
  • Receives, investigates and responds to internal maintenance requests and inquiries, referring to other resources as required and assigns work to maintenance staff and external contractors as needed
  • Develops maintenance checklists and ensures completion of required inspections, tests and documentation of such in records, logs and other formats
  • Develops, updates and maintains fire safety plans and inspections, organizes and executes regular fire drills and site evacuations
  • Coordinates and manages security and protection services, building access, keys and phone systems in partnership with the IT and Finance and Administration departments
  • Manages the office and clinic recycling and bio-medical waste disposal programs
  • Identifies and provides recommendations to organizational leadership for preventative and capital maintenance requirements. Provides project management for landlords, consultants and external providers involved in the upgrade and development for facility
  • Meets with site program staff and conducts regular site condition assessments and inspections to determine maintenance and refurbishment requirements
  • Participates in the on call management rotation, maintains the Manager On Call facility reference documentation and provides training to participants
  • Develops and monitors the facility maintenance budget and evaluates efficiencies
  • Coordinates space planning, furniture requirements, work place accommodation and office moves
  • Assists in the development and testing of business continuity and disaster recovery contingency plans
  • Participates as a member of the Joint Occupational Health and Safety Committee
  • Provides pro-active communication to staff on facility matters


  • Post-secondary degree or diploma from a recognized University, college or institute
  • Minimum of 5+ years’ relevant hands on experience in facility management and maintenance in a multi-site environment. Health care facility experience is an asset
  • Experience in supervising and working with employees in a unionized environment
  • Project management and facility management certifications – Certified Facility Manager (CFM) or Facility Management Profession (FMP) designations are an asset
  • Experience in lease negotiations and lease management
  • Understands best practices, risk management, building codes and emergency preparedness for maintaining building systems and preventative maintenance
  • Knowledge and experience with janitorial services, security and access systems, grounds maintenance, waste management including recycling of office and bio-medical waste, HVAC air quality standards, plumbing, pest management, electrical and first aid
  • Knowledge of applicable health and safety legislation including the rights and responsibilities of staff and supervisors
  • Strong planning, organizing and communication skills and demonstrated ability to work collaboratively in a team environment with internal and external customers and vendors
  • Strong working knowledge of Microsoft office software and database tools for project management
  • Driver’s license and access to reliable vehicle
  • Evening and weekend availability is required for problem resolution and after hours projects
